What Performance Analytics is genuinely good at

It is worth being fair about this, because the wrong reason to move is that someone told you PA is bad. Performance Analytics is purpose-built for ServiceNow: it snapshots indicator data over time inside the platform, so trending and time-series scoring work without you building any pipeline. It understands the process model natively, it drills straight through to the underlying records, and it puts scorecards in front of process owners in the tool where they already do their work. If your reporting audience is ServiceNow users, your metrics come only from ServiceNow, and you want in-platform scorecards and thresholds, PA is doing exactly the job it was designed for and swapping it out is mostly work for its own sake. The four questions that decide it

First, cross-source joins: do you need ServiceNow data sitting alongside finance, HR, monitoring or customer data in the same view? That is where an in-platform tool runs out of room, because it reports on the platform it lives in. Second, distribution: who needs to read the output? If a meaningful share of your audience does not have and should not need ServiceNow access, an external BI layer is usually both cheaper and simpler than provisioning them. Third, modelling freedom: do you need metric definitions PA's indicator model does not express naturally — bespoke business-hours logic, weighted composites, or reconciliation against a source of truth outside ServiceNow? Fourth, licence economics: PA is licensed separately from base ServiceNow, and many organisations already pay for Power BI or Tableau across the business. If you are buying a second analytics capability to serve an audience your existing BI platform already reaches, that is worth pricing honestly. Two or more of these pointing the same way is usually the signal to move.

What an external reporting layer looks like

It is not a rip-and-replace. In most cases PA stays where it is useful for in-platform process owners, and we build an external layer for the reporting it cannot serve. We extract ITSM, HRSD and CMDB data out of ServiceNow on a schedule, model the metric logic once so definitions are consistent, and build dashboards in the BI tool your organisation already runs. In Power BI that is ServiceNow and Power BI integration; for Tableau shops it is ServiceNow and Tableau integration.
